1. Absence during the semester due to illness or personal circumstances
If you cannot attend learning activities due to illness or other personal circumstances you should inform all those involved. This might include fellow students, student mentors, lecturers and/or coaches. It is crucial that these persons are contacted as soon as possible. After your return, you can get in touch with them again to make arrangements to get back on track.
If your illness or absence takes more than a few days, it is likely to affect your academic progress and possibly cause a study delay. In this case you should contact your and coach and academic advisor right away.
2. Illness during an assessment moment/deadline period
If you are ill during a deadline period or during an assessment moment and think you will not be able to attend the assessment moment or to meet a certain deadline, make sure to contact the academic advisor immediately. Make sure to have informed your academic advisor before the assessment moment or deadline. You should also notify fellow students with whom you collaborate and the coaches/lecturers/examiners involved.

3. Absence from a test for a course
If you are ill and cannot attend the first opportunity of a final exam in the exam week, you can participate in the resit next quartile. In case you miss the resit, you will need to redo the course in the next academic year. You are advised to discuss your plans with your academic advisor.
There is no possibility to retake an interim test. In case of illness or other personal circumstances you are advised to contact your academic advisor for support in this situation.

- Exceptional family circumstances
- Pregnancy and childbirth
- Top-level sports activities. Please make sure you discuss well in advance how your sports program will affect your studies
- Other situations involving circumstances beyond student's control
It must be determined to what extent there are valid extenuating personal circumstances. This determination will be made by the academic advisor on behalf of the Examination Committee.
Procedure in case of personal circumstances
The procedure concerning absence on the grounds of force majeure/extenuating personal circumstances is as follows:
- The student must report to the academic advisor that extenuating personal circumstances have arisen. He/she must report this or have this reported within 24 hours of the personal circumstances having arisen, but before any deadline or assessment moment to be taken into account.
- The academic advisor shall determine whether the extenuating personal circumstances are valid by using the mandate the Examination Committee (EC) has given the academic advisor
- When in doubt what to decide, the academic advisor advises the student to submit a request to the EC.
- The student must produce evidence if the Examination Committee deems this necessary.
- The secretary to the Examination Committee shall record the report in OSIRIS, immediately upon being notified by the academic advisor.
- The academic advisor will report to the lecturer/coach involved that a student reported a valid extenuating personal circumstance.
- Upon request by the academic advisor, the lecturer/coach shall provide the student with an alternative arrangement with them. In the case of large study components, the lecturer can in any case schedule a catch-up opportunity for students who, due to personal circumstances, were unable to take the interim test on the first opportunity.
- Any student who has been absent for interim tests two or more times during one academic year shall be summoned by the academic advisor.
